Information for new employees and guests of the ASF

  1. Activation of the KIT Account
    Each employee with a contract in KIT automatically gets a KIT account after the signed PSE employment contract is available and entered into the system. Once the account has been created, a letter is sent to the employee (institute address) with the account data and an initial password. The employee must use this data to activate his or her account at https://my.scc.kit.edu/english/activation.php.
    The same applies to guests at KIT for whom a GuP account has been applied for.
    When entering your own password, please observe the password guidelines and the information at the end of the activation process!

  2. adjust "my data"
    as soon as the KIT account has been activated, the area "My Data / Privacy Settings" should be adjusted as soon as possible. With these settings each employee defines which of his "data" should be visible to others. Explanations of the terms used there can be found under help.
  3. A staff page in the IMK-ASF staff list is created by Claudia Roesner. Which information appears on the employee page is decided by each employee himself - see point 2. It is possible to display further information. This information (both German and English version) should be sent to the web author of the own group. After entering this data, a printout of the page should be made and the employee should confirm by signature that this data may be published.
  4. E-mail configuration or mail forwarding for guests.
    In IMK-ASF mainly Outlook or Thunderbird are used. For both programs you can find detailed configuration hints on the SCC page.
    If you don't use Outlook, you should activate the central SPAM filter via OWA - further hints can be found at SCC - SPAM-Filter in KIT!
    On the pages of SCC you can find hints how to define the display name (according to a circular of the presidency) and how an e-mail signature should look like.
    Some groups use group-own appointment calendars, furthermore there are planning calendars for the two seminar rooms. An overview of the names of the existing calendars can be found in the navigation under E-Mail - ASF-Calendar.
    Guests and partners might want to use their home e-mail address because of their temporary presence in the IMK-ASF. For this reason you should definitely set up mail forwarding from the partner account.
  5. For the sending of sensitive data (including all personal data - e.g. postal address) a mail certificate should be requested as soon as possible. Information on this can be found under IT in IMK-ASF - E-Mail - Mail Encryption.
  6. Observe the KIT regulations for digital information processing and communication.  (I&C Regulations). In addition, there are further KIT regulations / guidelines that must be observed - see https://www.dsb.kit.edu/200.php
  7. A token is required for different SAP services. The token can be obtained from the SCC ServiceDesk (collection can be combined with the request for the mail certificate). You can find more information on this on the SCC pages under Two-Factor Authentication. The Token must be activated on https://my.scc.kit.edu/token/register before first use.
  8. According to Circulars 33/2015 and 18/2018, all employees are obliged to carry out regular data protection checks. Further information under "E-Learning Training in Data Protection" (German only).
