The KIT account of a KIT employee is deactivated 30 days after the end of the contract. The KIT employee will be informed about this at the end of the contract.

Guest accounts will be deactivated on the specified date, the guest will be informed about the deactivation.

 

Before an employee, student, or guest leaves, it must be arranged with him or her how to handle the person's data (both personal data and all work data):

  • Private/personal data stored on KIT computers must be securely deleted by the employee/guest before leaving the company.
  • A transfer of the remaining data must be clarified with the person before the end of the visit or contract. Finally, the person leaving the company must sign the formular BestaetigungDaten-Vertragsende.
    Important: the deprovisioning regulations also include the deletion of all data/files of a departing employee. Thus, after deactivation of a KIT account, all files on the central SCC computers assigned to this KIT account are also deleted (e.g. LSDF, bwsync&share, etc.) A regulated data transfer in advance of the end of the contract is therefore necessary.
  • If a token is available, it must be submitted to the SCC service desk: https://www.scc.kit.edu/dienste/11211.php
  • The employee/guest should define in advance of the contract/visit end that mail partners are informed of his or her departure and a possible new mail address by automatic notification, since the KIT mail address can no longer be reached 30 days after the contract ends.   • Every (former) KIT employee has the possibility to register as alumni. In doing so, a lifelong valid forwarding address can be requested. This address has the form firstname.surname @alumni.kit.edu. If this is considered, the alumni registration should definitely be done before the end of the contract so that the alumni address can be included in the automatic notification as future e-mail address.   • In justified cases the extension of the KIT account can be requested. A short information about this as well as the application form can be found on the SCC pages under KIT internal regulations on deprovisioning. Please be sure to inform the ITB if an account extension is requested and always use the current version of the application.

As soon as we ITB are informed via IDM automatism about the departure of an employee (this happens when the contract ends!), the employee will be deleted from all IMK groups within 30 days - if there is no information about a renewal of the account - so that there is no membership in mail distribution lists any more and the employee cannot access data which are only released for IMK groups.
